Sales Administration Associate
The Sales Administration Associate is responsible for the operational activities required to manage a purchase order from receipt to customer delivery.
The Associate is a partner to the Sales team and tracks potential and actual orders through completion ensuring all details of the order are tracked through the internal standard operating procedures.
The Sales Administration Associate functions as a liaison between the Sales and the Product teams. This role ensures that the sales order is accurately set up in the database, prepared to be handed-off to the Purchasing team, and tracked through the customer delivery date.
This role is responsible for providing superior customer service in daily interactions with external and internal customers.

Responsibilities :
- Process customer purchase orders.
- Monitor SPS (EDI portal) for reorders, prepare previous order history, and technical specification ensuring data accuracy.
- Assemble complete order details to hand-off to the Purchasing Department : sales order, technical specification, artwork, item ID, customer UPC, etc.
- Ensure AS400 data accuracy : item, purchase order, delivery, allocation, selling, and market cost.
- Manage customer orders in AS400 and make updates for due date, quantity, location changes, enter actual delivery date, and order quantity information.
- Coordinate customer delivery information with Sales Team, obtain customer authorization for delivery and quantity discrepancies.
- Provide customer delivery tracking information.
- Hand-of Customer invoice to A / P and review chargebacks.
- Support Client portals as necessary.
- Maintain allocation of all generic stock item purchase orders and warehouse inventory.
- Publish and distribute weekly sales orders and delivery report summaries.
- Review direct channel customer inquiries.
- Run customer sales reports against open orders.
- Provide support to customers and Sales team for daily tracking and purchase order management.
Requirements :
- High School diploma or equivalent.
- Ability to effectively work in a Windows environment with experience in Outlook, Word, and Excel.
- Excellent verbal and written communication skills.
- Self starter with the ability to multi-task projects, establish priorities, work independently, and organize effectively.
- Excellent detail-oriented customer service skills.
- Experience in data and systems management.
- AS400 experience is a plus.
- Ability to lift to 35 lbs.
Earthwise California salary range : $26 - $28 per hour based on experience, education, and geographic location.
