Position Overview
The Executive Assistant provides administrative support to the Chief Communications Officer (CCO) and members of the REFORM Communications Team.
A successful candidate will be highly organized, detail-oriented, flexible, adaptable in a fast-paced environment, has a high degree of discretion, excellent written and verbal communication skills.
The successful candidate will enjoy a fast-paced and mission-driven environment and the opportunity to have a breadth of learning about probation and parole reform.
They enjoy working with a wide range of people, take initiative, anticipate needs and work to make sure they are met. This person will bring their experience supporting C-level principals, and will work closely with the entire REFORM Communications team to ensure the team’s and organization’s success.
- The Executive Assistant’s role is to support the Chief Communications Officer and the Communications Team by maintaining schedule clarity and flow;
- scheduling one-time and recurring events; booking travel; responding to correspondence and other inquiries as directed; managing logistical aspects of meetings and events;
working with the CCO and members of the team to assess and respond to opportunities; and assist with background research and preparing materials in advance of key meetings and events.
Responsibilities :
- Manage daily schedule, adjusting appointments and logistics as needed.
- Assist with background research and preparing materials in advance of key meetings and events.
- Manage the daily clips distribution within REFORM.
- Build and manage a collateral depository and own quarterly team review of existing collateral needs and updates.
- Help to support project management.
- Communicate across organizational functions and with external stakeholders to timely schedule critical meetings and stakeholder attendance.
- Confirm calls and meetings with other parties and attend calls and meetings when appropriate and take notes.
- Prepare meeting rooms and technology in advance, to ensure a smooth internal and external meetings.
- Coordinate travel arrangements for members of the team when needed.
- Assist with other administrative procedures such as processing expense reimbursements, vendor payments, etc.
- Coordinate other teams, the Chief of Staff and external partners as necessary.
- Field phone calls, emails (as selected), and traditional mail (incoming and outgoing).
- Respond to correspondence, invitations, etc., as selected
- Represent REFORM to other employees and external stakeholders.
- Recognize and respond to potential problems. Exercise sound judgment and take initiative to avoid and solve problems independently and appropriately.
- Quickly shift tasks and priorities while tracking and completing all assignments and tasks.
Qualifications and Skills
3-5 years of experience as an Executive Assistant
Extremely organized and able to prioritize workload with impeccable attention to detail
Does well with adding structure in a creative environment / on a creative team
Team player who has a roll-up-your-sleeves attitude
Has experience assisting high-level executives in small organizations or start-ups
Solutions-oriented / creative problem solver
Proactive - always looking for ways to make things run more efficiently
Strong verbal and written communications skills
Eager to make a positive impact on the world
Ability to handle sensitive information with confidentiality and discretion
Excellent interpersonal skills
A self-starter who takes initiative and has the ability to operate independently
Work effectively as part of a high-performing team under tight deadlines
Experience with Gmail, Google apps, Asana, and integration across mobile and desktop platforms a must
Salary+How to Apply
Salary range for this position : $75,000-$85,000
