An executive administrative assistant in Payments Client Service & Implementation performs diverse administrative functions requiring extreme confidentiality, initiative, sound decision-making, attention to detail, high energy, and flexibility in line with a high-paced deadline driven team.
Excellent organizational skills and the ability to effectively handle multiple priorities is important for this role. You will need to adapt to procedures, processes and techniques to the completion of assignments and in line with the department's activities and goals.
This role regularly interacts with senior management. You will need to exercise independent judgment, escalating serious or unique problems.
This role supports a global group head. Job Responsibilities :
Maintain complex and detailed calendar and meeting coordination for a senior leader and large team
Act as a gatekeeper to determine the level of priority while using caution in dispensing information
Manage the coordination and all logistics of both internal and external meetings
Arrange and coordinate complicated domestic and international travel
Organize all aspects for offsite conferences and external events including catering and transportation
Process expenses. Ensure all policies are followed and items are processed within provided guidelines. Act as a subject matter experts for policies and procedures
Lead and coordinate ad projects independently Required Qualifications, Capabilities, and Skills :
At least five years of administrative experience ideally supporting at the Managing Director level (or equivalent) or above
Advanced ability to organize and prioritize competing priorities
Tact and superior judgment in confidential situations with proven experience interacting with senior management
Strong interpersonal, written, and oral communication skills
Strong proficiency in Microsoft Office and Outlook Calendar
