Job Summary We are seeking an experienced Legal Secretary to join our team. In this role, you will provide assistance to multiple attorneys, providing support and ensuring they are able to carry out their duties.
You will be performing complex and specialized secretarial and clerical tasks, communicate with clients, compile case materials, and a variety of administrative duties.
The ideal candidate must be a professional, highly motivated, detail-oriented and organized individual with a positive can-do attitude.
Must be able to work independently as well as a team player in order to meet the clients and attorneys needs and must have the ability to process routine daily functions while being able to resolve sensitive issues and complex assignments.
Responsibilities
Provide general administrative support such as typing correspondence, pleadings, discovery, copying , mailing, service of documents, ensuring documents are filed with clerk of court (i.
e. getting attorney work product out the door appropriately)
Advising attorneys of material received when attorney is not in the office
Schedule motions, depositions, meetings, etc.
Communicate with clients and witnesses
Welcome clients into the office and evaluate their needs
Receipt and docketing of all incoming materials (physical paper and electronic) including properly recording to the Files Directory with corresponding Firmwide Calendar diary entries and invitations for court, hearings, depositions and other dates
Ensure that case-related documents are well organized and available for review
Posting time into billing program on a daily basis for receipt of materials
Assisting attorneys with document retrieval, generation, transmission, etc.
Qualifications
Must have 3 - 5 years if recent Legal Assistant / Secretary experience in insurance defense and coverage litigation (some appellate experience is a plus)
Familiarity with legal procedures, terminology, and the court system
Excellent verbal and written communication skills
Highly organized with document management experience
Excellent research skills
Advanced proficiency with Microsoft Office, including Word and Outlook
Knowledge of Adobe; formatting documents
Experience with e-filing and ability to coordinate projects
Ability to multitask and work well under pressure
