Position Summary :
The primary focus of the Receptionist position is to act as the first point of contact for visitors, schedule conference rooms and manage the flow of incoming calls to the office.
This position will also serve as a team member of the National Receptionist Team and assist in answering calls on a regional basis.
The Receptionist may also perform a variety of administrative tasks to support the daily needs of the office. Candidate should also be flexible to work overtime as needed.
Duties & Responsibilities :
Greets visitors and clients warmly and promptly notifies internal parties of arrival
Answers incoming calls (locally and nationally) and directs them appropriately
Heavy conference room scheduling using reservation software
Proactively monitors conference room schedule to avoid conflicts and resolve minor issues if any should arise
Coordinates and records messenger service pickup and delivery
Updates the daily visitor list for building security
Manages transportation needs for internal and external customers, including cabs and car services to airport, court, etc.
Reserves visitor offices as requested and accommodates visitors upon arrival
Issues and collects visitor ID badges and maintains the visitor ID log
Updates office directory on a weekly basis
Ensures all visitors check in at reception immediately upon arrival to maintain security
Maintains high degree of professionalism and confidentiality
Assists other departments as needed, and performs additional duties and responsibilities as assigned

Candidate must be a self-starter who can work independently with minimal supervision
High attention to detail, outstanding organizational skills and the ability to manage time effectively
Qualifications & Prior Experience :
High School Diploma : College Degree in Hospitality Management is a plus
Minimum 3-5 years of experience as a receptionist or other administrative clerical position in a professional environment
Computer proficiency in Windows-based software and Microsoft Office Suite applications including Word, PowerPoint, Excel and Outlook
Exceptional computer skills with the ability to learn new software applications quickly
